The press conference is the most formal format. It involves logistics (venue, reception, visuals, framing), a prepared spokesperson, and an announcement that justifies the effort required for journalists to attend.
Key steps for organizing a press conference
A successful press conference relies on preparation in several stages:
- 4 to 6 weeks before : define the angle, select the journalists to invite (quality over quantity), and choose a venue and date while avoiding busy days.
- 2 weeks before : send invitations with a clear angle and follow up individually with priority journalists.
- The day before : prepare the press kit and brief spokespeople on anticipated questions.
- The big day : provide a polished welcome, a concise presentation (20 minutes maximum), and an open Q&A session.
- The day after : send the press release and press kit, and follow up individually with those who were unable to attend.
